Primary Communication Methods

  • Our main form of communication is Phone Calls and Text

  • You’re expected to respond promptly during work hours
  • Messages from off-work hours, reply first thing when starting the workday

Digital Communication Methods

  • Our digital communication is Email and Slack
  • Emails of team members

  • We will add you in our organizations slack channel
  • Use @members-name when messaging in slack channels so the other member gets the notification (i.e. @shawn @rose )

Work Hours

  • Your set Work Hours are Monday to Friday – 10 am to 2 pm
    • If you choose to take lunch, you may take 30 minutes and continue work until 2:30 pm
  • Your expected to attend work on-time (strictly enforced)
    • If you will be even slightly late, you must notify us before your start time.
    • If you will be up to 30 minutes late, you must notify us within 1 hour of your start time.
    • If you will be more than 30 minutes, must notify us 24 hours or more before your start time
  • If you have any request to work at a different time (Which we must approve first), you must make the request at least 48 hours in advance.
  • Catalina Rug is open from Monday to Friday 10am to 4pm
  • We take the following holidays off: Thanksgiving, Christmas, 4th of July, Memorial Day, Labor Day.

Time tracking

  • We use time tracking app Hubstaff
  • Only time tracked is considered hours worked
  • Be aware Hubstaff tracks activity levels, must be active while tracking hours
  • Timesheet must be submitted every 2 weeks. 15th of the month and end of the month for approval.

Task Management

  • We use Trello for task management
  • Always have Trello open and check your boards daily
  • Create your own Trello board to organize your work

File and Document Management

  • We use Google Drive to share all documents
  • Make sure to always share folders and documents you create with relevant team members
  • Always use Google documents such as Google Docs, Google Spreadsheet, etc to create and share documents
  • Avoid using Microsoft Excel or Words as they make it difficult to share and coordinate with other team members.
  • Avoid storing files on your computer as this may lead to data loss. Always store folders and files on Google Drive

Calendar

  • We use Google Calendar for scheduling events and meetings
  • You are expected to use Google Calendar and send calendar invites for event and meeting times

Knowledge Base

  •  Our knowledge base is located on team.catalinarug.com (where you are currently reading this)
  • The knowledge base is work in progress, and we need your help to continue building on it
  • You are expected to help us document as you learn, this way it is available as reference in the future for yourself and for other team members to learn
  • You are expected to create new posts in the knowledge base when learning new work. So use your phone’s video camera, screen capture on the computer, and always take good notes.

Payments

  • Your Payment for hours worked will be provided to you by check semi-monthly. Middle of the month and end of the month.

Parking

  • On-street parking is available on Fujita Street
  • No parking is allowed on Catalina’s premise
